Just wanted to say thanks to all of you who provided me with information. Sorry but there's too many of you to thank individually, but I wish I had the time to do so.
To summarize the information I received:
1. there are digital cameras out there that one can name the file of the image with its corresponding specimen number,
and
2. if shooting the old-fashioned way, then the specimen number has to be shot along with the specimen as part of the image.
Armed with all of your comments, I've convinced our IT guru that these are the only two ways to go -- he appreciates our situation.
