[yul-naco] Treat Williams and dates

Dear colleagues,

Thanks, Wheat!   There is another way of searching the history of versions of NARs in Connexion Client, which works the same as Adam’s approach.

The steps are: click on Authorities > Search > LC Names and Subjects History …

For example, search by LCCN (In:): no 97044091

As a NACO trainer, I thought I would pipe in on this topic.

A few things to be aware of.  First, it helps to view the entire MARC authority record, to view the information that was added to the record over time.  Let's take a look at the current record:

You can tell from the 010 that this authority record was created in 1997, by the University of Maryland (040 $a MdU $c MdU).  The first 670 indicates the item that was being cataloged, a videorecording.  The only information on that was his name in the credits.  No information there about his birth dates.  If a name is unique, NACO policy is to only add a birth/death date if the information is readily available.  For a unique name, there would be no reason to go elsewhere to look for a date.  However, you can see from the second 670, that the University of Maryland cataloger searched the LC catalog and that LC already had the access point Williams, Treat in its database (i.e., on catalog records).  The next day, on July 24, they searched IMDb and found both his real name and his birth date.  Since the preferred name was unique, and since LC had already used the access point without dates, the cataloger established the name without dates, in order to not have to have LC and other libraries change the heading in their catalogs.  However, because the name Richard Williams was not unique, the birth date was added to the variant access point in order to differentiate it from other people with the same name.  All of this is normal NACO practice.

When Williams died, the death date was added to the variant access point and added as well in coded form in 046 $g.

Now, if the NACO cataloger had not searched the LC database (or OCLC for that matter) and discovered that Williams, Treat had already been used in catalog records, they probably would have added the birth date in the 100 field, since it has long been NACO policy to add a birth/death date even if an access point is unique, if the date information is readily available (which usually means, in the item being cataloged).  Only if the name chosen as the preferred name for use in the 100 field had a conflict with other people with the same name would a NACO cataloger be required to do additional research to determine what to add to the access point to break the conflict (which could be a date, an occupation, or some other distinguishing characteristic).  NACO catalogers will usually prefer a date if that information is available.

For those of you who use OCLC Connexion, are you aware that you can view each iteration of an authority record, to see what changes have been made successively?  On the toolbar in Connexion Client, you click on Authorities > Show > LC Superseded Versions.  You can then view the authority record's history over time.  Here's what the first version looked like when added to the authority file on July 25, 1997:
