[Yale ArchivesSpace] Upcoming Downtime for ArchivesSpace & AS Addon-Completed

Hello Everyone,

The transition of production ArchivesSpace to a new, more robust server is complete. Initial QC steps against the environment have been taken. Library IT has confirmed that the AS addon for Aeon and the AS LSF update program are working.

Please begin to use this new instance as production:

If you encounter any performance issues please email libraryit.entsys at yale.edu<mailto:libraryit.entsys at yale.edu> right away. We will continue to closely monitor the system over the next several days to ensure the instance remains stable and comprehensive.

Please note:

*         By the end of this week we are expecting to fix a bug with top container indexing by testing and deploying a modified plugin and starting a minor index rebuild

*         The work around some staff have been using with the special ATK instance will continue for a little longer, while staff regroup on moving all workflows back to production ArchivesSpace. Additional email has been circulated about this process.

*         This new server does improve the end user experience, however there are still known issues and documented bugs with the application that need to be addressed through various channels. There may be additional tuning of the database. Updates will continue to be made to staff regarding the progress of these efforts.

*         After SAA next week, staff will also regroup to gather a more formal assessment of performance in this new environment

*         New physical hardware will be ordered and configured as the permanent home for ArchivesSpace

Hello,

As a result of last week's staff testing and collected feedback, Library IT is preparing to migrate the production AS database/index from the current VM instance to the physical server called HydraTest. The official cutover work is scheduled to begin Wednesday August 12 from 6am-10am. The system will be unavailable to staff during this time.

This physical server will become the temporary home of the production AS instance, perhaps for several weeks, while new physical hardware is purchased and configured for AS, or a deeper evaluation of Lyrasis hosting can be made.

What You Need to Know:

*         Library IT will do a walk-through of the steps in the current TEST AS instance, and this may make http://test-aspace.library.yale.edu periodically unavailable this afternoon (Monday) and tomorrow morning (Tuesday Aug 11)

*         There are several integration points IT needs to test first in the new environment, including the program to update AS transfers to LSF and the AS-addon for Aeon. This work will happen today (Mon) and tomorrow too (Tuesday)

*         This Wednesday morning window was selected to minimize downtime for a production system, and to minimize staff time without the AS addon in Aeon. This is the window we typically perform Aeon upgrades, as MSSA does not open to the public until 10am on Wednesdays.

*         In addition to the downtime, IT is coordinating with University ITS for the DNS changes (so hydratest becomes aspace.library.yale.edu as staff are accustomed)

*         IT will take several QC steps against the new production environment before giving the all clear Wednesday morning. These steps are factored into our 4 hour time frame.

*         If something goes awry, IT has a fallback plan.
