Hello Everyone,
At the November monthly stakeholder meeting for the ArchivesSpace Public User Interface Implementation, we initiated a conversation regarding how the Yale Library front door and individual libraries will prepare for the soft-launch of the new PUI. We'd like to take a moment to summarize the next steps.
As a reminder, we plan to utilize a soft-launch model for the PUI. This means when it is ready, we will make it publicly available for use, while we continue to keep YFAD available for use. Our project team agrees on several valuable reasons for utilizing a soft-launch, rather than moving directly to a service cutoff/cutover:
* To provide a cushion of time to uncover any minor issues with functional and nonfunctional requirements that did not/could not come up during planning and testing
* To provide time to our users and staff to acclimate to the new PUI service, before YFAD is removed permanently
* To provide a contingency option to easily revert back to YFAD only, if anything goes wrong with the PUI during the soft-launch window
* To provide adequate time to complete the transition tasks related to retiring YFAD permanently
* The average soft-launch is four to six weeks
Well in advance of the projected soft-launch date, we are asking libraries to begin discussing what they would like to happen on their individual web pages. Steve Wieda has prepared a google form for collecting these decisions<https://urldefense.proofpoint.com/v2/url?u=https-3A__docs.google.com_forms_d_e_1FAIpQLSewC1laWHlO-5Fkb9pn4dWfBWwzeAmcqM-2DO7HE-5F-2DtYNpwcYv4Fw_viewform-3Fc-3D0-26w-3D1&d=DwIFAg&c=cjytLXgP8ixuoHflwc-poQ&r=nTeyk-U4CZBqtEsuDPTxMJ5Ukixi2letL2sC1p3IUMQ&m=az6Bnbfrism0KNIVUBgxART_DqMysyDOdUV7o_CC1YA&s=O8SN1KUN40RIX9eLKCmCfD6QJiLGSHqvl6JIhWK82ps&e=> from each library using or promoting YFAD at this time. The decision points are straightforward, but both Steve and I are happy to meet with individuals or departments to answer questions, or show sample mockups if it helps you visualize what your library's web page will look like to staff/users.
In terms of the main library front door, we have documented the following decisions-
* A week prior to soft-launch a red banner (strong emphasis) will appear on the Library's web page indicating that in a week's time we will be launching a new service for searching archival and special collections materials at Yale
* The day of the soft-launch this red banner will go to green (lower emphasis) and remain for a week
* Notice will appear on the main Yale Finding Aids Database (YFAD) page for the entire duration of the soft-launch, notifying users the PUI is available now and will eventually replace the current YFAD
* A feedback option will also be presented to users in the ArchivesSpace PUI during soft-launch so additional user feedback may be collected
Please don't hesitate to ask Steve, or me, any questions about this aspect of the project. We would like to finalize all feedback by February 1, 2018.
Thank you,
Melissa Wisner
