From matthew.gorham at yale.edu Fri Aug 3 10:10:40 2018 From: matthew.gorham at yale.edu (Gorham, Matthew) Date: Fri, 3 Aug 2018 14:10:40 +0000 Subject: [Yale ArchivesSpace] YUL ArchivesSpace Production Instance Upgrade Scheduled for August 10-12 Message-ID: Dear Colleagues, Beginning next Friday, August 10 at the close of business and running through the weekend, YUL's production instance of ArchivesSpace will be upgraded to version 2.4.1. Version 2.4.1 is a minor release with no major changes to the application, but it does include some important bug fixes, including improvements to search functionality in the Public User Interface (PUI) which are necessary to implement before the upcoming soft launch of Archives at Yale. Members of YAMS have tested all core functionality and workflows in the staff interface of version 2.4.1 and found no show-stopping bugs. Additionally, all software integrations with ArchivesSpace have been tested (including Aeon, Preservica, ICE, and the LSF location update tool), and all are working as expected. Yale's test instance of ArchivesSpace (http://testarchivesspace.library.yale.edu) has already been updated to version 2.4.1 if users would like to try it out. The release notes for version 2.4.1, with full details about the release, can be read here: https://github.com/archivesspace/archivesspace/releases/tag/v2.4.1 The detailed schedule for the upgrade is as follows. Please note the dates and times when PROD will not be available for staff use and plan your work accordingly: * August 10, 5 pm - All work in ArchivesSpace PROD must cease. * August 11-12 - Upgrade in progress. ArchivesSpace PROD will not be available for staff use. * August 13, 8:30-10:30 am - YAMS members will perform quality control of the upgrade for approximately 2 hours. During this time, staff members may not log in to ArchivesSpace PROD. An all clear-message will be sent out to the Yale ArchivesSpace user listserv when it is safe for staff to resume working in ArchivesSpace. If you have any questions, please let me know. We have found no issues with existing workflows and functions. We did find that certain expected features for the PUI, such as the publish all/unpublish all plugin at series and lower levels, are not yet integrated, and that the style of the site (such as using chevrons in the hierarchical tree versus plus/minus signs) is not quite matching TEST. We are verifying when these will be added, but since our core functions are working, we are giving the all the clear to start work in PROD again. If you notice any issues with ArchivesSpace going forward, please let this listserv or any member of YAMS know. There are two main points for now: 1. The new Publish/Unpublish All feature 2. What you need to do in ArchivesSpace before leaving work on Friday 8/31 #1 Through the great support of YAMS and Alison Clemens and Alicia Detelich, staff have a new plugin called Publish/Unpublish All. We are working to make this plugin ready for use for Thursday (tomorrow) and Friday this week. This is to allow staff working in ArchivesSpace to publish and unpublish archival components en masse (e.g. all archival components for an in-process collection; all archival components under a specific accession or series). I believe some staff orientation has been provided to folks in MSSA, but please do contact Alison or Alicia If you have questions about this new feature we hope you find time-saving. As a reminder, anything that is "published" in ASpace is going to show up immediately in Archives at Yale as of Tuesday September 4, so we wanted to give some lead time to unpublish anything you need to prior to the soft-launch. I'll send word when this change is in place. We are scheduled for it tonight, but just to be certain I'll send word. #2 The work this weekend will be to bring up Archives at Yale new user interface AND transition our hosted server from the IBM cloud to the Amazon cloud. You may remember we made this same transition with our hosted DEV and TEST servers earlier this summer. All integrated services have been kept up to date about what they need to have in place for the change of cloud provider. ICE/Qdabra workflow with Robert Klingenberger, AV Preserve work with Fortunoff, and Preservica work with Euan. We expect brief downtime for Preservica Friday, so synchronization between Preservica and ArchivesSpace will briefly pause for that purpose. This move does not require staff to save off data or deal with any data refresh. All production data will remain as is. Our other hosted instances will remain as is. However, we ask that by 6pm Eastern Friday August 31, all staff stop working in ArchivesSpace. This would include any automated routines, scripts, etc. as well. We will use this email thread to share progress reports through the weekend. Thank you, Melissa Wisner -------------- next part -------------- An HTML attachment was scrubbed...
