ArchivesSpace users,

I am pleased to report that the YUL Agents and Subjects Task Force has completed its work. Most merging of duplicates and record enhancement was finished in December 2018. Over the last several months, we completed remaining editing and compiled a final report, submitted to the Yale Archival Management Systems Committee (YAMS) in May. Here are some highlights from the report:

  * Imported 31,978 authority records, each with distinct linked open data URIs, from the following sources:
     * Personal, family, corporate, and conference names: Library of Congress Name Authority File (LCNAF).
     * Topical, geographic, preferred title, and occupation subjects: Library of Congress Subject Headings (LCSH).
     * Form/genre terms: Getty Art and Architecture Thesaurus (AAT).
  * Identified 21,757 local records, for agents and subjects not represented in the authority sources listed above.
  * Verified or added 213,542 agent and subject links in 9,679 finding aids, based on headings in 1xx, 6xx, and 7xx fields in corresponding Voyager records.

  * Deleted circa 46,000 unlinked agent and subject records.
  * Merged circa 15,000 duplicate agent and subject records.
  * Completed circa 170,000 edits, using batch editing processes, including correction of sources, addition of authority URIs, revision of local agent and subject records, and standardization of field usage and punctuation affecting display in PUI.

Please use these authority and local records, and import new authority records, create new local records, and merge any lingering duplicates as needed. Instructions for identifying, importing, creating, and merging records are available in revised ArchivesSpace Agent and Subject Records Best Practices<https://drive.google.com/open?id=1-x447VQkhPyborBnGkoa1lvxmre7V2K7a1wi10EnHkY>. Integration of these best practices with other documentation, and evaluation of training needs, are underway by YAMS. For more information, please contact YAMS co-chairs Alicia Detelich and Eve Neiger.

Many thanks to Task Force members Mark Custer, Alicia Detelich, Francis Lapka, and Sandra Markham, and to our colleague Mark Cooper at Lyrasis, for their dedication in reaching these goals.

Best wishes,

Karen Spicher

Chair, YUL ArchivesSpace Agents and Subjects Task Force
