[Yulcat-l] Cataloging CD-ROMs documentation now available

Two documents have been added to Cataloging at Yale/Special Formats at

1.-2. focus on the Voyager/Orbis environment for cataloging, incorporate 
revisions to AACR2/rev. Chapter 9, and replace the following obsolete 
NOTIS-based document:

Supervisors: please be sure staff who do copy cataloging of CD-ROMs, 
diskettes, etc. understand the new copy cataloging guidelines and have 
access to the documentation.

Highlights of the new documents:

Both Original and Copy Cataloging:

a. Use the format term CD at the end of the MFHD 852 call number when the 
CD-ROM is the primary (as opposed to accompanying) material. (For CDs 
as  accompanying material, CD is entered in the item record CHRON field in 
SML processing)
b. The form subject 655 CD-ROMs should not be added to bibliographic 
records (and should be removed when member copy is used)

Copy Cataloging:

a. Explains which obsolete data needs to be changed on copy, and which 
obsolete data may be left "as is."
b. Requires addition of 007 and 006 fields if lacking on the cataloging 
copy, with guidelines on the appropriate fixed field values to be entered.
c. Tips on verification.

Original cataloging:

a. Detailed guidelines on how to code Leader, 008, 007, & 006 to bring out 
the electronic resource aspects.
b. Changes in definition of chief source in the current AACR2/rev rules.
c. Material Specific Details area (256) is obsolete in the current 
AACR2/rev revision.
d. Extensive 300 field examples, incorporating the local decision to apply 
the option to use the common usage terminology.
e. 538 not required if system requirements are not readily available.
f. Many examples of notes appropriate for use with direct access electronic 
resources; most of these examples are taken from LC cataloging (the LCCN is 
given with the example).
g. References to the appropriate sections on cataloging direct access 
electronic serials in the CONSER Cataloging Manual.
h. Extensive guidelines on assigning subject headings for electronic 
resources.
i. Reference is made to all of the LCRIs applying to Chapter 9.

Note that these guidelines apply to direct access electronic resources 
(primarily CD-ROMs, but also diskettes). Guidelines for remote e-resources 
(e-books accessed through the web, web pages)  are still in the draft stage.

Finally, catalogers need to keep in mind that the documents are intended to 
focus on cataloging issues specific to the direct access electronic 
resource format. Unless otherwise stated, the general descriptive rules in 
AACR2/rev. Chapter 1 apply, as do all of the rules in AACR/rev. Pt. 2 for 
choice & form of entry.
