Dear SML Colleagues,
I am writing to alert you and to ask your assistance in working through an unusual Commencement Day schedule in Sterling on Monday, May 24. On that day, from approximately 11:00 am until just before 3:00 pm, President Levin and the officers of the University will host a luncheon in the SML nave, in honor of this year's honorary degree recipients. During those four hours, those of us on staff will not have access to the SML nave and adjacent areas, as well as the Wright Reading Room and adjacencies. In addition, members of the public and any others who are not Library staff members will not be allowed in Sterling before 3:00 pm, a requirement that is based on the security sweeps of the building early that morning.
Here is what we can expect on May 24:
1. Sterling will be closed to the public until 3:00 pm, opening only 3:00-5:00 that day. Bass Library will be open its usual hours, 8:30 am to 9:45 pm. Because Commencement can be a heavy return day, the SML bookdrops will remain open until 3:00 pm, after which books can be returned in the building.
2. Until 3:00 pm on May 24, the access points into Sterling for Library staff will be the York Street door and the staff entrance on Wall Street adjacent to the loading dock. After 3:00 pm, access will return to the public Wall Street door and the High Street doors. In addition, the tunnel that connects SML and Bass will be closed until 3:00 pm.
3. The SML nave, the Wright Reading room, and adjacent spaces such as the circulation desk and public stack elevators, L&B, Periodicals Reading Room, and Starr Reading Room, will be inaccessible from 11:00 until 3:00. In practical terms, this means that we will lose the connection between the SML stacks entrance and the exhibition corridor. During those four hours, the primary exit and entrance for the SML stack tower will be the York Street door. The primary exit and entrance for staff in the Music Library and MSS&A will be the staff entrance on Wall Street, adjacent to the loading dock.
4. Departments in areas that are adjacent to inaccessible areas will relocate for all or part of the day:
SML Circulation, Info Desk, Privileges, and Periodical Reading Room staff will
work in other areas of Access Services, including Room 2, which will
remain accessible throughout the day.
Electronic Collections staff will move to the computer classroom in Bass, L06
Document Delivery staff will work in the SML staff training room, SML 332 and
workspaces in SML Acquisitions
5. LSF and Eli Express deliveries will take place that day, although schedules and delivery times may have to be adjusted depending on street closures
6. All library staff who plan to be in Sterling at any time on May 24 are asked to have their Ids with them, as we will have an increased security presence in the building.
I am grateful to the unit heads and staff of the displaced departments for their flexibility and camaraderie, and to everyone who works in SML for helping us to accommodate this important event in the life of the University.
