Title: Registrar

Department: Collections

Status: Regular, Full-Time, Exempt, Salaried, Benefits, two-year Grant
project.  

The Registrar position continuing after the grant project is completed is
contingent on additional funding. 

Supervisor: Collections Manager

 

Position Description: The position is responsible for tracking owned and
non-owned (non-Gift Shop) collections and objects that enter and leave the
Museum of Northern Arizona as acquisitions, loans or deaccessions.  The
Registrar will track, generate, and maintain legal paperwork related to
these transactions and will help with collections management tasks as
needed.  The Registrar is responsible for Integrated Pest Management (IPM)
duties in the collections and exhibits of the Museum.  

 

Major Tasks and Responsibilities:

 

Administrative Responsibilities

*	Assists in departmental goal-setting and goal achievement
*	Assists in creating and keeps Registration budget
*	Supervises registration assistants, volunteers, interns, and
work-study students
*	Prepares registration reports
*	Assists in the preparation of other Collection reports 
*	Types correspondence and other documents as needed
*	Assumes responsibilities and duties of the Collections Manager when
assigned and necessary
*	Recommends and assists in the development of Collections Management
Policy and forms

 Registration Responsibilities 

*	Generates legal paperwork related to collection/object transactions
*	Documents these transactions in the Museum's computer system
*	Tracks loan renewals, tardy acquisition agreements, and other types
of agreements that deal with collections or objects
*	Develops and implements the process to upgrade, add, and amend
transactions in the Museum's computer system
*	Oversees and maintains all accession and incoming and outgoing loan
files and ledger books
*	Coordinates activities relating to incoming and outgoing loans,
deaccessions, and acquisitions including inventory, packing, shipment, risk
management and other tasks relating to the transaction
*	Develops, coordinates, implements an institution wide IPM program
*	Keeps records on the results of IPM
*	Assists with collections management and preventative conservation
projects as needed

  

Public Programs Responsibilities

*	Documents and assists in the use of collections in public programs

  

Education and Experience Requirements:

*	Advanced Degree in museum studies or in Natural or Social Science
with formal museum studies coursework. 
*	Minimum 3 years experience as a Registrar or collections department.

  

Abilities, Skills, and Knowledge:

*	Knowledge of registration, museology and preventative conservation
theory, policy and practice for anthropological, biological, geological,
fine are, photo archives, and archive collections.
*	Familiar with government regulations and laws affecting museum
collections and acquisitions, such as 36 CFR Part79, and the Endangered
Species Act.
*	Proficiency in Microsoft Office suite, internet, email.
*	Ability to utilize computers and other technology. 
*	Strong organizational, time-management, multi-tasking skills and
detail-oriented.
*	Strong oral and written communication skills with staff.
*	Ability to work alone or as a team member to facilitate project
completion.
*	Must have the ability to bend, lift up to 40 pounds, climb stairs,
and walk moderate distances. 

 

Working Conditions:

Generally works indoors, Monday through Friday, 7 hours per day, although
attendance at meetings or other events may mean working other hours on
occasion.

Salary: Salary $35,000 per year, two-year grant position.  The Registrar
position continuing after the grant project is completed is contingent on
additional funding.
