Registrar, Permanent Collections

American Museum of Natural History

The Registrar, Permanent Collections is responsible for creating, compiling and maintaining legal documentation, histories of use, and accessions/loan documentation concerning the AMNH collections.  Additionally,, the position is responsible for managing incoming and outgoing exhibition loans.  A critical tool for this position is the KeEMU collections database.  As such, the position will set specifications for the accessions, deaccessions and loan modules within the museum wide collection database and will implement its over-arching use in the Office.  The position is responsible for working with and educating museum staff in the required procedures for accessions and loans processing, as guided by the museum collection policy.

Major Job Duties Include:

  *   Creates, compiles and maintains legal documents, histories of use, and physical histories of permanent collections objects and/or specimens.  This includes legal forms and acknowledgements;, permanent collection accessions; loan, conservation, and condition records; exhibition, insurance and location records.
  *   Maintains archives, including photographic.  Researches information requests in archives.
  *   Generates annual collection reports foraccessions/deaccessions and annual USFW reports (COSE, Endangered Species).
  *   Coordinates database (KeEMU) implementation for the Office of the Registrar setting specifications for accessions and loans.  Sets data standards and ensures ongoing and up to date data input.
  *   Manages outgoing and incoming exhibition loans.  Generates loan agreements, insurance certificates, condition records and receipts (as above).  Reviews facility reports, mount/case designs.  Consults with relevantdepartments (conservators, photographers, contractors), as needed.
  *   Schedules and supervises packing, shipping (domestic and international), condition reporting, and object movement
  *   Applies for Immunity from Seizure and Cultural and Wildlife import and export permits, as needed.
  *   Supervises installations and de-installations.  Acts as transit or installation courier (domestic and international), as needed.
  *   Trains and educations staff in the best practices for processing accessions and loans.  Develops and runs internship program.

Requirements:

  *   Minimum, 7-years museum registration experience; equivalent level of experience using museum databases (KeEMU and FileMaker preferred)
  *   Experience with natural science (biological) collections and/or materials
  *   Working knowledge of artifact handling standards, artifact condition reporting standards, museum crating standards, domestic and international fine art shipping and conservation standards, existing network of fine art service vendors.
  *   Must be able (and open) to transferring standards and processes developed in the field of fine arts registration to the exciting and challenging setting of natural science collections.
  *   Cheerful, flexible, professional, communicative, motivated, problem solver; organized; meticulous record-keeping skills; excellent communication and writing skills; excellent time-management skills; ability to manage complex projects and negotiate multiple projects simultaneously; must be able to manage and direct shipping and art handling crews, must be knowledgeable and comfortable with equipment such as dollies, pallet jacks, j-bars, etc.
  *   BA in biology, fine art/art history, museum studies, or related field.  MA in museum studies, biology, arts administration or related field, preferred.
