The attached image shows our method for improving "retrieval-from-a-huge-series-crammed-tightly-on-the-shelves."

It won't work for all containers and is in of itself a concession to adverse conditions that we can't afford to change at the moment (need more space for 220,000 jars of 9,300 species of fishes - the pictured example is just one of 13 and a half shelves of a single species, Notemigonus crysoleucas), but it is simple.

The wax pencil/china marker is impervious to alcohol but comes off with the light touch of a dampened scouring pad or if inscribed on a cap with a more rugose surface, a standard office eraser.

P.S. One other tip that most may already practice, when looking to locate a number of lots at once, search only the last 2 digits of the catalog numbers in question - easier to keep more numbers in mind, chance of false positives roughly 1 in a 100 = more efficient use of time. At least until everything gets an RFID tag. :)

Paul, sorry for the misunderstanding!

Might be worth to check archival quality tapes used in libraries to restore old maps or to support historic books. These are typically designed to remain as inert as possible and should use a long-living, high-quality adhesive. We do not have specific experience with such tapes, but such tapes have been suggested during a workshop during the KUR-workshop in Berlin (aiming to gather expertise to restore historic objects in the fluid collections; participants included paper conservators). They do work in libraries, so it might worth checking if they are stable under fluid storage conditions (especially as Simon mentioned some holding fluids tend to leach through containers and could influence the properties of the adhesive)

Perhaps check with your library; there is a detailed list inside the report of the KUR-project, but I guess the material mentioned in there is likely not (or hardly) available in the US. But there should be something similar, I guess.

This thread has gone off into a completely different subject, that of internal labels. To recap, then (as it were): we do not use external labels INSTEAD of internal ones, but IN ADDITION. This is because each of our 300-plus shelves has about 150 bottles on it, and we very regularly take them out and put them back. Having numbers on the lids and sides makes them easy to find and makes it harder to put them back in the wrong place. There is nothing on the outside label except the number. Lifting each bottle to try and see the number on the internal label is a nuisance, as the average size of the bottles is small (2-4 ounce) and the number on the internal label is not always easy to see.
So to repeat the original question: does anyone know of a pre-cut label that is available in multiple sizes and that will remain stuck to glass and plastics for at least as long as, if not longer than, medical tape (30-40 years)?

Just to put my pennyworth in as I have always advocated labels inside jars, having witnessed external labels and data sets that have either detached over time or disintegrated due to preservative leaching into them.

Cheap & reliable alternative for internal labels:
Old HP 500&600 DeskJet printers and original HP cartridge hp 45 black in combination with high quality transparent paper as internal labels. Works not only in alcohol, but also in water based solutions (e.g. during formalin fixation and are fairly stable during alcohol ladder specimen transfer)

For anyone using sharpies - please test to make sure that they are not soluble in any solvent you might be using near them - including water.  Be warned - the older ones are light sensitive, and they color shift.  They are also soluble in alcohol and acetone.  I have not tested the newest version that are supposed to be "archival".  There are other pens that you can use.

Maybe Paul is like me and doesn't have a budget for thermal-transfer-printing equipment like that? Would people with the equipment consider running print batches for people who don't have the equipment, for a fee? Does anyone do that already?

Silly question but why are you labelling jars and lids instead of placing labels within the jar using the thermal transfer printing system available from Alpha Systems being used by a large number of extant alcoholic collections?  The labels are unaffected by alcohol or formalin and do not yellow, brittle or fade over time and also do not leach anything into the fluid.  We have been using them for 10+ years and have been very happy.

Folks,

We are starting work on rehousing our entire alcohol-preserved mollusk collection, comprising about 50,000 bottles. For many years we have used medical tape to label jars and lids, writing on it with sharpies. This works pretty well, as the tape stays stuck to glass or plastic for over 40 years. However, for the next round of rehousing I'd prefer to use pre-cut labels for the sake of neatness and speed.
Does anyone know of a suitable label? It can be cloth or paper, and should ideally be available in various sizes and shapes. I'm especially keen on finding a good circular label for the caps of regular 4- and 6-dram screw-top vials.
