The price sounds about right for that type of venue. As I said before, I 
don't think you will find adequate space for under Y100,000 a day. It's not 
terribly expensive, in any case.

Maybe the biggest challenge you will have gathering the group is "proving" 
that you have been in Japan long enough not to raise any concerns about the 
original cancellation. After all, wasn't that the whole problem to begin 
with? Just keep a low profile and it should work out :)

Does anyone have any experience of the Tokyo International Exchange
Center ????????

According to the availability calendar on their website Thursday and
Friday are free (but not the Saturday and Sunday):

If we qualified for the 50% academic discount, and we filled the rooms
(they vary in size from 18 people to 60 people) then its 900 yen a day
each.
