We just had a wonderful intern, Erika Range, do an incredibly detailed review of all the labelling standards and specifications she could find that related to natural history collections. (Thank you Andrew for helping us with this project). It is long and  detailed (7MB) but I can Dropbox it to you if you like.

Erika’s survey of labelling best practices may help you compare all the pros and cons of different printing methods and labelling substrates and how they apply to your particular situation. Unfortunately, clarity is hard to find and at the end of this project we still had a few very small but important labelling details we are looking to work with a conservation scientist to resolve.

On the subject of printing, thermal transfer printing is certainly being widely adopted by those working with wet collections and libraries. The most useful specification we found was Library of Congress 700-713-09 which is aimed at dry collections. In terms of substrates, for “dry” collections,  I still personally favour archival paper labels over “paper-like” spun-bonded polyester. While paper is vulnerable to pest damage, so are your dry insect collections. In terms of relative longevity for dry collections, archival paper has a longer proven track record but I also know that polyester is a very stable material. This is another area we want to resolve for ourselves for dry collections.

I would suggest a thermal transfer printer much like we use in wet collections.  The media is spun bound polyester which is virtually indestructible and will not get eaten by bugs.  It also lasts a long time.  We tested some labels for our ento collection and printing at 4 point font was no problem for the 400dpi printer outlined in the specs attached.

I can provide more info and sample labels if need be.
