[Yale ArchivesSpace] ArchivesSpace performance problems -- where we are now

Dear special collections colleagues,

Mark Custer and Mary Caldera (as outgoing chairs of the ArchivesSpace Implementation Committee) and I (as incoming chair) would like to give you a recap of where we are with ArchivesSpace performance issues and how we and our colleagues are moving forward.

What you’re seeing

  *   Searching for records takes a long time
  *   Opening records takes a long time
  *   Saving records takes a very, very long time.
  *   The data in search results does not match the data in records
  *   After trying to save a record, you may be presented with an error saying that the record cannot be saved.
  *   After creating a top container, you can’t then link to that same top container in the next component
  *   You can’t move components around
  *   You’re wondering why this isn’t working better than Archivists’ Toolkit had

Obviously, none of the situations listed above are acceptable. We have been working with Library IT to assess the causes of and potential solutions to these issues, but we acknowledge that action has been largely unsatisfactory.

This morning, we met with higher administrators from LIT, BRBL and MSSA to come up with a plan for addressing these issues and resource allocation for outside help. Ray Frohlich, Melissa Wisner and I (as chair of the ASpace committee) have been given power and resources to make improvements happen. We will share our plans and our progress as we move forward. We will also be working with folks in repositories to come up with a reliable set of alternate methods for authoring finding aids in the meantime. This description will come back into ArchivesSpace once the crisis is over, but we acknowledge that work cannot stop while systems issues are being worked out.

Please continue to submit tickets to libraryit.entsys at yale.edu<mailto:libraryit.entsys at yale.edu> as you encounter errors. This is very, very important so that all parties understand the true scale of this disruption.
