[Yale ArchivesSpace] ASpace production update

Dear ArchivesSpace users,
As you’ve surely noticed, the production version of ArchivesSpace is still down after last week’s errors. From our point of view, this disruption in service was wholly avoidable, and we feel the disruption in our own work. As your representatives on the committee, we are working closely with library IT to move ArchivesSpace toward a functional and robust service environment. We take our responsibility as your representatives seriously, and we are actively working toward a better long-term model.
The plan, approved by the chairs of the Special Collections Steering Committee and facilitated by library IT, will be to move the administration of ArchivesSpace to a hosted provider and away from in-house hosting and system support.
The committee will be thoroughly testing the newly-hosted instance of ArchivesSpace, beginning tomorrow. Although the work is being expedited, staff will not have access to a hosted production instance of ArchivesSpace until next Monday. We wanted to make sure that you know this so that you can plan your work around this disruption.
When production begins, the most recent version of the data that we will be able to access will be from last Wednesday afternoon, near the end of the day. This means that any data you may have created Wednesday evening or Thursday will be lost.
We will be hosting two town hall meetings this Friday to talk through this change in person. These meetings are open to anyone who works in ArchivesSpace: archivists, supervisors and C&Ts. One meeting will be held at 10am the large meeting room at 344 Winchester, and another in SML 409 at 2pm. We will address any questions you may have about data loss, work disruptions, or moving to a hosted environment.
