Hello,

YAMS has the following updates for today:


*         We requested, received and delivered SSL certificates over to Lyrasis for our hosted instance. This will provide additional security around the application.

*         We have the domain name archviesspace.library.yale.edu ready to go. This will become our new link to Production ASpace.

*         We continue to check on the hosted instance to make sure it is everything we need.

We are on track. We look forward to discussing the migration with you at the Town Hall meetings tomorrow, as well as the steps to get everyone into the new hosted production instance. If you are unable to attend, don't worry. All the information users need to know will be shared via multiple channels.

Thank you for your extraordinary patience this week. I believe it is human nature to want to be productive. On Monday, ArchivesSpace will be back in your toolbox.

The YAMs committee had a very productive day!

We'd like to share the progress of our work:

*         We have been testing an approach to set up user accounts in the new environment. Today we tested this process end to end with successful results. This process will be demonstrated at the ASpace Town Hall meetings this Friday.

*         We completed the quality review of the ASpace application and data in the hosted instance. Everything is working and even moving to the right spot in the alphabet-I'm looking at you Martha Smalley!  =  )

*         Lyrasis is now working on getting our new PROD instance ready.

*         We plan to go live to staff on Monday, Feb 1. This is a lovely bit of poetics. 1st day, new month. It's a sign.

Hello Everyone,

I know it has been many days of down time and some of you have emailed to ask about status, alternative work and workflows.

We wanted to share an update on the overall process to get to a hosted instance as soon as possible.

All applications brought up by Yale need to undergo an Information Security Design Review. Yale has an InfoSec Office that manages the review. Basically this means they audit the system environment to make sure data is protected from harm, users are protected from harm, business continuity measures, etc. This morning we completed all the work to get to a provisional clearance to go live in a hosted environment. This is great news. We hope to have final clearance before/by Friday. We've worked with InfoSec many times and this is the typical process.

There is an instance online with Lyrasis that is a copy of our production data as of 1/20/16. Lyrasis restored our database, rebuilt the index, and ran a successful resequence. The YAMS committee and a few super users offered to help with the testing today. They have been checking out the new instance and are confirming everything works as needed. Very positive results so far. I believe a bit more testing will continue tomorrow.

Folk have asked about any data they created/worked on  on Thursday 1/21/16. Please know that YAMS and Lyrasis IT staff are discussing options for recovery and ideally automated data restore. As soon as details are known (we suspect several courses of action will be needed), YAMS will be in touch with you.

We are still striving towards the goal of a full system, customized to Yale, to be available to staff Monday Feb 1. This is our goal and it needs to get done.

So many people are working to make this successful, stable, and secure. Please let us know if you have any questions or concerns about the process.
