As a reminder, below is the Library's policy for library staff workstations.     If you have any questions about this policy, please see me and we can discuss.

Policies for Use of Library Staff Workstations

Library staff need access to a Library staff workstation in the course of their work at Yale. Access may be for a variety of reasons, for example: cataloging or purchasing of books, checking work-related e-mail messages or to assist students doing research. It is important to remember that staff workstations are University property provided for work use only and are not to be considered personal property. Inappropriate use of staff workstations can render workstation equipment damaged or inoperable, thereby reducing staff productivity, and can potentially increase liability risks for the Library and the University.

With these issues in mind, all Library staff should observe the following:
1)     Do not install, remove, or alter any software, hardware, or system settings on the computers unless you have been directed to do so by your departmental expert user or Integrated Library Technology Services (ILTS) staff.  Some examples of software that you may not install:


*         Packaged, OEM or downloadable office software
*         Weather checkers
*         Media players
*         File sharing programs (for example, Kazaa)
*         Browser toolbars or extensions (for example, Cool Savings)
*         Games
*         CD/DVD burner programs
*         Wallpaper changers
*         Spyware, virus or spam checkers or removers
*         Desktop, program or system utilities

Note that ILTS staff periodically scan all Library workstations for unauthorized software installations.  Maintaining the integrity of staff workstations may require immediate access to a staff workstation by an ILTS staff member or a local dedicated support provider.

2)      Web sites for online games, gambling, and adult content are strictly prohibited.

All staff should adhere to the University's Information Technology Appropriate Use Policy (Policy 1607), which describes other prohibited activities.  You can download the policy at: http://www.yale.edu/ppdev/policy/1607/1607.pdf. Specific note should be taken of the following Specific Proscriptions on Use:


Harassing or threatening use. This category includes, for example, display of offensive,  sexual material in the workplace and repeated unwelcome contacts with another.

Use in violation of University policy. Use in violation of other University policies also violates this Appropriate Use Policy. Relevant University policies include, but are not limited to, those regarding sexual harassment and racial and ethnic harassment, as well as University, departmental, and work-unit policies and guidelines regarding incidental personal use of IT Systems.

Personal Account Responsibility. Users are responsible for maintaining the security of their own IT Systems accounts and passwords. Any User changes of password must follow published guidelines for passwords. Accounts and passwords are normally assigned to single Users and are not to be shared with any other person without authorization by the applicable Systems Administrator. Users are presumed to be responsible for any activity carried out under their IT Systems accounts or posted on their personal web pages.



Please note: If staff feel they have been subjected to offensive materials in their work environment, they should report their concern to their supervisor who will consult with Library Human Resources on appropriate action.

3)     Limit personal web browsing.

4)     Limit personal e-mail.

5)     Do not install or use Internet Messaging (chat) unless you have been authorized to do so by your supervisor or WW&DCS/ILTS.

Please be aware that violations of library or university computer policies may result in disciplinary action up to and including termination.
